Tuition Policies
Please read the fee policies and procedures carefully. If you have questions please ask for clarification from ECC personnel.
General Enrollment Requirements
- Age Range: The ECC is state-licensed and Missouri Accredited to accept children from 24 months through 12 years of age.
- Prerequisites: All required forms must be completed, on file, and relevant enrollment fees paid before a child can attend.
- Student-Parent Specific Eligibility:
- To qualify for student scheduling, parents must be enrolled in day classes with a minimum of 6 credit hours at Jefferson College.
- Student parents must submit a current copy of their official class schedule upon enrollment each semester.
- Student parents must notify center personnel if they are leaving campus or not attending a scheduled class. An emergency contact must be provided on the enrollment form.
- The ECC reserves the right to limit part-time, flexible scheduling to align directly with the student's official class schedule.
Enrollment & Registration Fees
- Community/Employee Rate: A $75.00 per child, non-refundable registration/re-enrollment fee is required for new and re-enrolling families.
- Student-Parent Rate: A $30.00 non-refundable registration/re-enrollment fee is required for each semester or intersession a child attends.
Billing, Payments, and Overdue Accounts
- Payment Deadline: Families must pre-pay for childcare services by noon on Tuesday of each week services are provided. Payment for the first week is due on or before the first day of attendance.
- Billing Structure: Weekly bills are not provided unless additional accrued charges apply. The weekly fee is established at the beginning of the semester, and families can choose to pre-pay in full, monthly, or weekly.
- Payment Methods:
- Drop Box: Check or money order at the Early Childhood Center or ATS Classroom.
- By Mail: Attn: Cashier, Jefferson College, 1000 Viking Drive, Hillsboro, MO 63050.
- In-Person: Cashier window in the Student Services Building (cash, money order, or check)
- Online: Through the MyJeffco account at www.jeffco.edu.
- Payment Restrictions: All checks must be made payable to Jefferson College using black or blue ink and must include the parent's college identification (V) number.
- Returned Checks: A $30.00 fee is applied to all returned checks.
- Overdue Accounts: Late accounts risk termination of services. To reinstate services, past-due charges must be paid in full (including for missed attendance periods), a deposit equal to one week of tuition must be paid, and a paid receipt from the Cashier must be shown to staff. Jefferson College reserves the right to charge late payment penalties.
- Student-Parent Transcript Hold: Student parents will have their transcripts and grades withheld until all college fees, including childcare balances, are fully paid.
Attendance, Closings, and Vacation Policies
- No Refunds/Credits Policy: There are no refunds or credits given for absences, emergency closings, or inclement weather closings.
- College Closings & Breaks: Tuition charges include all college-observed holidays. The center remains open occasionally when college classes are not in session (e.g., Spring Break, District Music Contest).
- Community/Employee Winter Break Exception: The center closes for approximately 7 to 11 working days during winter break. Except for Christmas and New Year's Day, community/employee families are not charged while the center is closed for winter break.
- Vacation Credit (Community/Employee Only): Vacation credit equal to one week of tuition is credited after 26 weeks of full-time, consecutive, paid enrollment. This applies to full-week, full-day enrollments only and excludes school-age children. It will not be applied if services are denied due to late payments or if there is an outstanding balance.
Schedule Changes, Finals Week, and Withdrawal
- Schedule Changes (Student Parents Only): Requests must be made in writing using the appropriate form alongside a copy of the revised class schedule. Approved changes become effective on the Monday following the request, subject to space and staffing.
- Finals Week Policies:
- Community/Employee: Semester fees extend through the full week of Finals. Attendance is assumed for this week unless a new schedule is submitted or ongoing enrollment was indicated in the initial packet.
- Student Parents: Fees are calculated to include finals week, and students are billed the standard weekly charge. Students are expected to maintain enrollment through finals week.
- Withdrawal Policy: A minimum of one full week's written notice (Monday through Friday) must be given to center office personnel. Telephone notices are not accepted. Without proper notice, billing can extend up to two weeks past the last date of attendance.
- Note for Student Parents: Withdrawals are strictly not accepted during the last regular week of classes or during Finals Week.
- Refunds: If a semester was pre-paid in full, refunds for early withdrawal are pro-rated based on the percentage of the month used.
Incidental and Penalty Fees
- Secure Door Access:
- A one-time fee of $10.00 per key fob (maximum 2 per family) is added to the account after enrollment.
- Replacement fobs cost $10.00.
- A $5.00 reminder fee is assessed for every third time a fob holder must be manually buzzed into the building.
- Late Pick-Up / Late Arrival Fees: A fee of $10.00 per child for every 10 minutes (or portion thereof) is charged for arrivals/pick-ups past 5:30 p.m.. This fee must be paid before the child's next day of attendance.
- Failed Sign In/Out: A written reminder is issued for the first offense. Every subsequent instance of failing to sign a child in or out on the computer or classroom sheet results in a $2.00 charge per child.
Specialized Care and Assistance Programs
- Drop-In Care (Student Parents Only): Intended for occasional or emergency use, not as a replacement for scheduled care. Parents must call ahead to verify staff ratios and space availability. Discounts do not apply to drop-in care.
- School-Age Care (Before & After School):
- A.M. Session Early-Outs: Children attend at a reduced "currently enrolled" rate; regular weekly before-school charges still apply.
- P.M. Session Early-Outs: Children attend at an overtime hourly fee when their school has an early out (Regular weekly after-school charges still apply).
- Community/Employee Overtime Rate: $5.00 per hour.
- Student Parent Overtime Rate: $4.00 per hour.
- Scheduled School Closings: The reduced "currently scheduled" rate applies in addition to regular weekly before and/or after-school charges.
- DSS Childcare Assistance: The center accepts Missouri Department of Social Services (DSS) childcare subsidies for income-eligible families. Eligible families must complete daily sign-in sheets as mandated by DSS and are responsible for paying any balances or childcare charges not covered by the subsidy. Parents can contact the DSS Childcare Division at 636-797-9601 to check eligibility.
